collects, uses, stores and protects personal information when you contact us, request a quotation or use our services.

T&B Woodwork is a bespoke furniture and cabinetry business operated by James Mitchell trading as T&B Woodwork.

For the purposes of UK data protection law, James Mitchell trading as T&B Woodwork is the data controller for the personal information described in this notice.

Depending on how you interact with T&B Woodwork, we may collect:

• Telephone number
• Home or project address
• Information you provide about your project or enquiry
• Correspondence by email, telephone or WhatsApp
• Quotations, invoices and payment or transaction information
• Drawings, measurements and other information relating to your project
• Photographs relating to a project
• Information necessary when working with subcontractors, suppliers or other professionals

We do not normally collect or store customers' payment card details. Where card payments are made through QuickBooks, payment processing is handled by the relevant payment provider.

• Respond to enquiries and provide quotations
• Arrange consultations and site visits
• Design, manufacture, deliver and install furniture or cabinetry
• Communicate with you about your project
• Take and administer payments
• Maintain accounting, tax and business records
• Provide aftercare, warranty or remedial work
• Keep appropriate records of completed projects
• Work with tradespeople, subcontractors, suppliers and other professionals involved in your project
• Meet our legal and regulatory obligations
• Protect and manage our legitimate business interests

We do not currently use customer contact details to send unsolicited email or WhatsApp marketing.

Under UK data protection law, we must have a lawful basis for using personal information. Depending on the circumstances, we generally rely on:

Contract — where processing your information is necessary to provide a quotation at your request, enter into a contract with you or carry out the agreed work.

Legal obligation — where we are required to retain or process information for purposes such as accounting and taxation.

Legitimate interests — where it is reasonably necessary for operating and protecting T&B Woodwork, including maintaining appropriate project records, dealing with queries, managing our business and establishing or defending legal claims, provided those interests are not overridden by your rights.

Consent — where appropriate, for example where we specifically ask permission to use identifiable project photography for promotional purposes. Where we rely on consent, you may withdraw it.

Photographs of completed work

We may photograph completed projects for our portfolio, website, Google Business Profile and social media.

Where photographs contain or are linked to identifiable personal information, we will consider the appropriate lawful basis and, where we rely on consent, ask for permission before using them.

We aim to avoid publishing customers' names, addresses or other unnecessary identifying information alongside project photographs.

Where necessary, personal information may be shared with:

• Tradespeople or subcontractors working on your project
• Suppliers and delivery providers
• Interior designers and other professionals involved in a project
• Accountants, bookkeepers or other professional advisers
• Providers used to operate the business, including Wix, Microsoft/Outlook, Dropbox, QuickBooks and WhatsApp
• Government authorities or regulators where required by law

We only aim to share information that is reasonably necessary for the relevant purpose.

Some service providers may process information outside the UK. Where this occurs, we rely on the safeguards or arrangements provided by those services for international transfers as required by applicable data protection law.

How we store and protect your information

​

Customer and business information may be stored using services including Wix, Outlook, Dropbox, QuickBooks, WhatsApp Business and password-protected business devices.

We use appropriate security measures including device passwords and passcodes, two-factor authentication where available and biometric security such as Face ID.

Access to T&B Woodwork's customer records is currently limited to the business owner, except where information needs to be shared with service providers or other parties described in this notice.

How long we keep your information

​

We only aim to retain personal information for as long as reasonably necessary.

As a general guide:

Enquiries and quotations that do not become projects: normally retained for up to 2 years.

Completed customer and project records: normally retained for up to 6 years after completion, where appropriate for project history, aftercare, disputes or other legitimate business purposes.

Accounting and tax records: retained for the period required by applicable tax and accounting law.

Project photographs: may be retained for as long as they remain relevant to T&B Woodwork's portfolio or business records. Where we rely on consent for identifiable photography, that consent can be withdrawn.

Subcontractor and supplier records: retained for an appropriate period according to accounting, tax, contractual and legal requirements.

Information may sometimes need to be retained for longer where there is an ongoing dispute, legal requirement or other legitimate reason.

The T&B Woodwork website uses cookies and similar technologies.

Where required, visitors are given choices about non-essential cookies and tracking through the website's cookie consent system.
